Add, Edit, and Delete Punches with Comments

You can add, edit, or delete punches in the hourly timecard. Depending on your access rights, you can also cancel meal deductions, override a punch, change the time zone, and add comments to existing punches.

Add or Edit a Punch

To enter or change the time of a punch, click a cell in the In or Out column, enter the time, then click Save.

If you need to add more detail to the punch:

  1. Right-click the In or Out cell. The Punch Actions glance opens. If the cell already contains a punch, the glance displays the current information about the punch: date, time, override, time zone, exceptions, last edit date and the last person who edited it.
  2. In the Punch Actions glance, click Edit.
  3. In the Punch panel, enter the following information as needed:
    • Time (hh:mm)* — You cannot leave this field blank.
    • Transfer — Click the arrow Right-facing arrow to open the Transfer glance where you can select the business structure, work rule, cost center or labor category for the transfer. Click Close or exit icon. or Cancel to exit.
    • Override — Select one of the listed overrides.
    • Time Zone — Select the applicable time zone.
    • Cancel Deductions — Select one of the listed deduction rules.
    • Exceptions — If there is an exception in the cell, the exception name is displayed. You cannot edit this.
    • Comments — If there is a comment for the cell, the comment is displayed.
  1. Click Apply.
  2. Click Save.

Attaching Comments

Depending on your access rights, you can attach comments and notes to a paycode amount or punch in the timecard as well as to absences and exceptions. Punches can have multiple comments and comments can have multiple notes.

The way that you add comments differs depending on whether you are using the table view or the list view.

To add a comment and note to a paycode amount or punch:

  1. Select and right-click a punch or a paycode amount, then select Comments.
  2. In the Comments panel:
    • If there are multiple events in a single cell, the Comment On drop-down list appears. Select an event from the list, for example, a cell that has an unscheduled punch identifies two events: punch and unscheduled.
    • Select a comment from the Select a Comment drop-down list. You can also enter some letters to search for a comment.
    • If needed, add a note in the Type a note (optional) box.
    • Optionally, click Add Another Note, enter a note in the text box and then click Add.
  1. When finished, click Apply.
  2. Click Save when finished editing the timecard.

The Comments icon in the punch or paycode cell indicates that a comment was added.

Delete a Punch

  1. Select the punch, then click Delete on your keyboard.
  2. Click Save.
 

 

Add or Edit a Punch in the Mobile App

You can add, edit, or delete punches in the hourly timecard from the mobile app. Depending on your access rights, you can also cancel meal deductions, override a punch, change the time zone, and add comments to existing punches.

  1. Select the appropriate day.
  2. In the time detail panel, add or edit a punch:
    • To add a punch, tap Add Punch.
    • To edit an existing punch, select Punch In or Punch Out and tap Edit.
  1. In the Punch panel, enter the following information as needed:
    • Time (hh:mm)* — You cannot leave this field blank. All punches are calculated minute to minute.
    • Transfer — Tap the arrow to open the Transfer panel where you can select the business structure, work rule, cost center or labor category for the transfer. Right arrow icon. Tap X or Cancel to exit.  Close icon indicated by the letter, X.
    • Override — Select one of the listed overrides.
    • Time Zone — Select the applicable time zone. 
    • Cancel Deduction — Select one of the listed deduction rules.
    • Exceptions — If there is an exception in the cell, the exception name is displayed. You cannot edit this. 
    • Comments — If there is a comment for the cell, the comment is displayed.
  1. Tap Apply and then tap Save.

Delete a punch

Select a punch from the day detail panel and delete it.

Attaching Comments

To add a comment and note to a paycode amount or punch from your mobile device:

  1. Select a punch or a paycode amount.
  2. In the Punch edit panel:
    • Select the More Actions icon next to the event from the list, for example, next to the Punch Out cell.
    • Select a comment from the Select a Comment drop-down list. You can also enter some letters to search for a comment.
    • If needed, add a note in the Type a note (optional) box.
    • Optionally, tap Add Another Note, enter a note in the text box and then select Add.
  1. When finished, select Apply.
  2. Select Save when finished editing the timecard.

  • Right-click on the punch you wish to comment.
  • On the Punch Actions menu, select Comment.
  • Punch Actions step 2 
    1. If the punch you are commenting on has an exception, you will see the option to attach the comment to the punch time or the exception.
    2. Select the most appropriate comment from the list.
    3. Optionally, type in a free text note to add more information in the Note field.
    4. Select Add when finished.
    1. Select Apply, and then select Save in the timecard.
    2. Comments will appear in the timecard with a blue bubble indicator.
